Privacy Policy

Your privacy is important to us at run-forest-run. We keep 3 different sorts of data

  1. An email list to inform you of future races
  2. Shop data to allow us to manage your order and refund payments where necessary
  3. Race Details – Personal data to allow you to take part in the race

We use 3rd party tools for these functions and we have checked that they offer GDPR compliant services to us. We do receive some personal data indirectly via our social media outlets (such as Facebook and Twitter) but none of that data leaves the corresponding social media platform

What personal data do we collect?

This falls into 3 categories:

  1. Email list
    • First and Last Name
    • Email Address
    • When you joined the list
  2. Shop Data
    • First and Last Name
    • Email Address
    • Postal Address
    • Race Details (Diet, Gender etc)
    • Transaction Value, date & time
  3. Race Details
    • Who you’re racing with
    • Diet
    • Whether you have raced before
    • Any medical information that we need to communicate to medical staff on the day

How long do we store that data?

  1. Email list
    • This is kept until you unsubscribe
  2. Shop Data
    • This is destroyed once we have filed our annual accounts (Between March and August following each race). Note that our payment services provider may be legally required to maintain some of the transaction data for longer.
  3. Race Details
    • This is kept for up to 3 months after the race day to allow us to process results and to plan for the following year’s race. A subset of race details are kept until a request is received to remove them. This allows us to publish the results from previous years to help future runners and to give previous runners something to be proud of.

Cookies and other similar technologies

We collect certain data through cookies and similar technologies (e.g. web beacons, tags, device identifiers). Cookies are text files placed on your computer to collect standard internet log information and visitor behaviour information. This information is used to track visitor use and to monitor the usage of the website in order to improve its usability and security. You can manage your cookie preferences through your browser settings.

Legal obligations. We may process your information in relation to a legal obligation. This includes cases where we must comply with requests from competent authorities, administrative obligations and in cases involving legal disputes.

General business process execution, internal management and management reporting. To be able to run our business, we also use your personal information for general business processes. This includes processing your information for archiving, insurance and other administration related purposes, management reporting or processing in relation to audits. One example of this is publishing the names of previous winners.

With whom do we share your personal data?

We share your personal data with third parties who process the data so that we can provide our services. These include as our email service provider (mailchimp), our payment service provider (paypal / stripe), our medical coverage provider (see this year’s race details) and our web host MrMxfHosting.

Where is your personal data processed?

Your personal data is processed by our staff in the United Kingdom.

To the extent any other personal data will be transferred to a country outside the European Union or an international organisation, we will make sure that this only happens to such countries and international organisations that ensure an adequate level of protection, have put appropriate safeguards in place to protect your data and your rights in accordance with the EU privacy law (GDPR), or as is otherwise allowed under the GDPR.

You can request any of the personal data that we hold on you at any time. Please use the contact form to make the request and allow us 30 days to fulfil the request.
